No, to take advantage of the early bird conference rate you must book your hotel reservation through the Alliance-designated hotels. If you later move your reservation outside the official hotel block, your registration fee will be adjusted to the standard conference rate.

Once you have booked your room you will receive an email with your Hotel Confirmation Code (ex: #193847), please make sure to include that in your registration to guarantee your registration rate. We audit the codes and will reach out if your registration and reservation do not match.

Attendees who live within a 50-mile radius of Alliance 2027 may request a waiver of the hotel reservation requirement. We ask that you submit a Local Attendee Waiver Form (link available in October 2026) and receive approval from the conference team before completing your registration.

Housing Policies

By registering for or attending any Higher Education User Group (HEUG) conference (Regional or Alliance), participants agree to the following terms. It is your responsibility to read and understand them.  Additional details will be posted October 2026.

  • Early Bird Conference Rate 

    To qualify for the Early Bird conference rate, you must book your hotel reservation through the Alliance-designated hotel reservation system by January 16, 2027. If you later move your reservation outside the official hotel block, your registration fee will be adjusted to the standard conference rate.

  • Room Reservation Process

  • Payment Information and Housing Cancellation Policies

  • Reservation Changes

  • Exceptional Circumstances 

    In the event of exceptional circumstances, such as natural disasters or pandemics, our cancellation and modification policies may be adjusted for greater flexibility. Attendees will be informed of any changes.
