By registering for or attending any HEUG Conferences, participants agree to these Attendee Terms & Policies. It is the participant's responsibility to read and understand them.
Early Bird Conference Rate
To qualify for the Early Bird conference rate, you must book your hotel reservation through the Alliance-designated hotel reservation system by February 10, 2027. If you change to a hotel outside the block, your registration will be updated to the standard rate.
Room Reservation Process
Hotel reservations are offered on a first-come, first-served basis, depending on room availability. If your preferred hotel is unavailable, you may be placed on a waitlist. To increase your chances of securing your preferred hotel, we recommend submitting your reservation request as early as possible.

Children aged 17 and under stay free when accompanied by an adult or guardian.
Payment Information and Housing Cancellation Policies
A valid credit card is required to book. It will be pre-authorized but not charged immediately unless specified by the hotel.
If you change to a hotel outside the block, your registration will be updated to the standard rate.
No-shows may be charged a fee.
Cancellations made less than 72 hours before arrival (by 12 p.m. local time) will incur a fee equal to one night's room rate plus tax. Review your hotel confirmation for specific terms.
To cancel your reservation, please contact your hotel directly. Canceling your Alliance registration does not cancel your hotel reservation, you must cancel both separately.
Reservation Changes

Taxes & Fees
Room rates do not include taxes or additional fees (e.g., resort or service charges). Tax rates may change without notice.
Exceptional Circumstances
In the event of exceptional circumstances, such as natural disasters or pandemics, our cancellation and modification policies may be adjusted for greater flexibility. Attendees will be informed of any changes.
