Exhibitor Resources

You will find resources, information, and guidelines to encourage attendees to attend Alliance and visit you as an exhibitor. We are working hard to bring you an event that exceeds your expectations and brings you the best value. Please review the information below as we have upcoming deadlines approaching.

Booth Information

The event sponsorship comes standard with a 10' x 10' booth set with:

  • 8' high black back drape (3' high black back drape for peripheral booths near tables)
  • 3' high black side dividers
  • One 6' x 30" table draped black
  • Two Limerick® chairs by Herman Miller
  • One wastebasket

Booths 300 sqft or less will receive a 7" x 44" one-line identification sign. Booths larger than 300 sqft may request a 7" x 44" one-line identification sign.

Free wifi available at the event onsite credentials will be on your badge.

Exhibitor Registration & Housing

All company representatives—including Exhibitor Presenters, Solution Center Attendees, and Support Staff—must either use a registration included with your sponsorship or purchase one separately.


All exhibitors attending Alliance must book their housing within the conference block to use their comp code.

All exhibitors attending Alliance must register for the conference as a Corporate Ticket.

Register

  • Fill out your Registration Details, these can be updated later if registering someone else.
  • Acknowledge and agree to the Corporate Code of Conduct.
  • Once in your cart, enter your promo code: CompanyNameA27 (e.g., GoogleA27).
    Confirm with your company POC before using your code allocation.

Registration Allocations:

  • Premier: 10 Passes
  • Platinum: 8 Passes
  • Gold: 6 Passes
  • Silver: 2 Passes

Make sure to purchase registrations in advance. On-site registrations incur a $250 processing fee.

Corporate Session Submissions

Companies have two different ways that they can present:

  1. Co-Present a Session with a Client

    A client that is a HEUG member may submit a session proposal for consideration that includes your company as a co-presenter. No costs are associated with this type of presentation; however, your client must be the primary presenter, and they are responsible for submitting the proposal. If the session is accepted, your client's primary presenter will be informed, and the primary presenter who is a HEUG member will receive a discounted registration. Exhibitor co-presenters do not receive a complimentary registration and must be a sponsor or exhibitor at Alliance and register for the conference.

  2. Be a Sponsor at Alliance 2027

    Session allotments by sponsorship level:

    • Premier Sponsors receive two (2) full presentations.
    • Platinum Sponsors receive two (2) full presentations.
    • Gold Sponsors receive one (1) full presentation.
    • Silver Sponsors do not receive a Sponsored Session, but may co-present on a member's accepted session.

    Sponsors who would like an additional session beyond their base allotment have two options: submit a proposal within the Call for Proposals window at no cost, which the program team may select at their discretion — if selected, the session is added to the program at no additional cost — or purchase an additional Sponsored Session directly to guarantee a slot.

Corporate Sessions are due December 11, 2026, at 11:59 p.m. MT. NO EXCEPTIONS. Exhibitor Presenters must be registered for the event in order to present on-site. Exhibitor Presenters do not receive complimentary registrations, unless they've purchased an "add-on" session, which includes a full conference registration.

Event App

Exhibitor representatives who have been added as Associated Registrants can access the Exhibitor Management Portal on our event in your browser. Once logged in you should see that your name displays in the top right-hand corner. You will also see an Edit button on the public site exhibitor page if you are an Associated Registrant for that specific exhibitor, or an Exhibitor Portal Admin. This option is available through the public site (the 'desktop experience') and not through the apps. Exhibitor FAQs

No, sponsors that are presenting with or without a client need to register as an attendee to be able to present. Additional registrations can be purchased with your sponsorship package, or in addition to your package.

Yes, the only way to attend Alliance is as a Premier, Platinum, Gold, or Silver sponsor.

Yes, we will include an order form in the exhibitor kit.

No, members presenting with sponsors do not receive a discounted event pass.

Yes, we will be recording audio of ALL sessions to be played on demand post event for Members and Subscribers only. Sponsors and exhibitors do not receive access to session recordings.

No, we don't collect names by session. You are welcome to stand at the door and ask if you can scan badges as attendees come in.

As a sponsor the attendee list is sent out 3-4 weeks prior to the event and a post attendee list after the event.

Yes, Monday night is traditionally the night that sponsors host their own events around the city.

Freeman will be coordinating the Solution Center management.
