Alliance is a user-driven conference with high-quality presentations across all ERP Systems and a broad spectrum of topics. There are a variety of session lengths and formats for presenters to accommodate their topics, from workshops to regular sessions, there are options to suit your presentation needs.

Submit a Proposal

All proposals are due Friday, September 26, 2025, at 11:59 p.m. MT.

A HEUG profile is required to submit a proposal, present, and register for the event. Please take the time now to create a profile or update your profile. Presenter profiles will be displayed in the event agenda on the HEUG Event App.

If you are an Exhibitor or Sponsor of Alliance submitting a proposal, view the Corporate Session Submissions section for options for presenting.



Key Dates

All primary presenters and co-presenters must be an Institutional or Subscriber member of the Higher Education User Group or Public Sector User Group or an Exhibitor at the Alliance Conference. Further instructions on presentation requirements will be provided in the notification email and in additional correspondence.

No other expenses are reimbursed by the Alliance conference. The registration discount is non-transferable.  NOTE: Members presenting on a sponsored vendor session are not eligible for a discounted registration.

Steps to Submit a Session

Speakers should use and follow the Alliance Conference presentation guidelines ( 211 KB) in creating their proposals.

Develop a proposal based on one of the focus areas within the submission portal. You may start a proposal within the site and save it as a draft as you go.
Submit your proposal using the CFP portal between September 1 - 26, 2025.
You will receive notification of your submission results via email no later than October 29, 2025. Then you will be required to confirm your acceptance of the invitation to present by November 3, 2025.
Once accepted, registration opens and is required of all presenters by January 16, 2026. Review our Presenter Expectations to prepare for Alliance 2026.

Criteria for a great presentation:

Titles can be cute or clever but it is important that an attendee can easily understand what material will be covered during the session.

Prepare an outline of your proposed session and include it in your submission. This will help the reviewers better understand what you plan to cover during the session. You will also find it helpful when you start creating your presentation.

Consider selecting alternative session lengths in your proposal. This gives the reviewers more flexibility in shaping the track and may increase the chances of your submission being selected.

Avoid overuse of acronyms in the title and description of the session if they are not standard for the majority of your intended audience.

Titles and short descriptions are what are displayed first to attendees. It is important to make sure this reflects the core focus of your session. Don’t use the limited text including items that are not directly related to the core of your content.

So many of us have a wealth of knowledge and experience from which our colleagues could benefit. If you are inexperienced at speaking, don’t let that hold you back from submitting a session, you have time to practice. Your presentation does not need to be fully formed at this stage, but these are the items we will be looking at during our evaluation of sessions.

Corporate Session Submissions

Companies have two different ways that they can present:

  1. Co-Present a Session with a Client

    A client that is a HEUG member may submit a session proposal for consideration that includes your company as a co-presenter. No costs are associated with this type of presentation; however, your client must be the primary presenter, and they are responsible for submitting the proposal. If the session is accepted, your client's primary presenter will be informed, and the primary presenter who is a HEUG member will receive a discounted registration (Exhibitor co-presenters must be a sponsor or exhibitor at Alliance plus register for the conference).

  2. Be a Sponsor at Alliance 2024

    Platinum Sponsors receive two (2) full presentations. Major Sponsors receive one (1) full presentation. All sponsors can purchase additional Sponsored Sessions.

Sponsor Sessions are due February 11, 2026. NO EXCEPTIONS.

Exhibitor Presenters must be registered for the event in order to present on-site. Exhibitor Presenters DO NOT receive complimentary registrations unless they've purchase an "add-on" session, which includes a full conference registration.

If you have finalized and submitted your session, please reach out to support@alliance-conference.com, and we can reopen the form for you. Once you complete your edits, click 'OK' to save them. If you are an Exhibitor presenting, contact Tom Chambers at exhibitors@heug.org.

The breakout rooms will not be equipped for virtual presentations (primary or co-presenters). Approved presenters are required to be in-person for the conference.

We will update you by December 31, 2025, of your final session status. Please proceed with registering for Alliance as an attendee at this time, and if your session is accepted, we will refund your registration based on the presenter registration discount.

Agenda Builder is located in the Alliance app. There are two methods to access the mobile app.

Presenter Terms & Policies

Presenter Policies

  • Member Sessions - All primary presenters and co-presenters must be an Institutional Member, Allied Member or a Subscriber of the Higher Education User Group or an exhibitor at the Alliance 2026 Conference. Alliance 2026 Conference Exhibitors may be a co-presenter; however, the majority of content should be presented by the member.
  • Exhibitor Sessions - All exhibitors should refer to the Exhibitor FAQ for submission rules and instructions. Only registered exhibitors will be allowed to present and co-present at the Alliance 2026 Conference, no exceptions will be made. If you are not sure about the status of one of your co-presenters, please contact support for clarification. Member primary and co-presenters are not eligible for complimentary passes for paid exhibitor sessions.
  • All premier sponsor presentations must be approved by the sponsor representative to the Alliance 2026 team.

Presenter Registration Policies

  • Member primary presenters are eligible for one (1) complimentary or discounted pass to the Alliance 2026 Conference. Workshop, Regular, and Two Part Series length primary presenters are eligible for a full complimentary pass. Panel session presenters (up to a total of four presenters) will each receive a 25% discount towards their Alliance Conference pass. Stop and Share moderators are NOT eligible for any discounts. Complimentary and discounted passes are only valid with a confirmed room reservation in the designated Alliance room block.
  • Co-presenters are not eligible for a complimentary pass, with the exception of one workshop co-presenter and the discount for panel presenters.
  • The registration waiver is non-transferable.
  • Once your session has been approved, you will not be able to change or transfer the presenter name. Swapping the primary and co-presenter is prohibited.
  • As a primary presenter, you must ‘accept’ your session for the conference by October 29, 2024, or you risk having your session(s) removed from the schedule. Contact conference support if you have any issues accepting your session(s).
  • Primary presenters must register for the conference by January 17, 2025, or risk having your session(s) removed from the schedule. Sessions cancelled due to failure to register are forfeited outright.
  • Primary presenters of exhibitor sessions are not eligible for the member presenter complimentary or discounted passes to Alliance 2026 Conference.  Exhibitor registrations are dependent on their sponsorship package. Please contact exhibitors@heug.org for details.
  • Any speaker cancellation after January 17, 2025 or no-show presenter will forfeit their access to Alliance 2026 files and content.
  • Workshops can not be cancelled after December 1, 2024. After this date, workshop presenters who are unable to attend will be required to compensate HEUG and registered attendees for costs incurred with the cancellation. 
  • No other expenses are reimbursed by the Alliance 2026 Conference.

Liability Waiver

I understand that travel and gathering involves risk of illness. I (and on behalf of my guest(s)) waive and release HEUG and its sponsors and exhibitors, and their volunteers and agents, from and against claims, liabilities and expenses arising from injury, illness or death from contraction or spread of communicable diseases due to travel to or attendance at an event sponsored by HEUG.

I will take necessary precautions and abide all safety protocols implemented on-site for the event and agree to not attend any HEUG event if I feel ill or had recent exposure. HEUG reserves the right to modify health screening protocols at their discretion. This is a very fluid time, and we will continue to evaluate what is needed to ensure your safety.

This waiver and release are binding on me and my heirs and successors.
