Historically, the request process for access to our Student Information System (SIS) included paper forms that required routing for multiple approvals. The process was time-consuming and could often take weeks, with no easy way to find where a request was in the process. Requests were manually reviewed to confirm they were completed correctly and included the correct approvals. Training records had to be reviewed for roles that required training. User account creation and updates were manual and often resulted in errors.

Enter Gideon Taylor (GT) eForms… Requests can now be submitted electronically. Setup tables are used to determine required approvals and training, and how requests are routed. Approvers are sent emails with links to open and approve the request. Email notifications for new staff include links that allow them to log in as a public user to verify their identity before being redirected to the request to complete a compliance agreement and approve. Staff can easily view the workflow and status of approvals for each
request. Accounts are automatically updated after all approvals have been entered eliminating manual entry and ensuring accuracy.
