Transcript Processing using Artificial Intelligence/Machine Learning, Optical Character Recognition, & Robotic Process Automation

Description:
As a part of the 20225 strategic initiative, NJIT has been transforming its campus operations using digital technologies to provide efficient services to students and staff. This presentation will share how NJIT partnered with KTech Products and innovated, automated, and transformed our admission and registrar's manual business processes using cutting-edge technologies. NJIT recently implemented an automated solution using Artificial Intelligence/Machine Learning (AI/ML), Optical Character Recognition (OCR), and Robotic Process Automation (RPA) technologies. The cloud solution provides end-to-end automation, transcript download, OCRs the student/grade/course data, structures and maps the data and enters the records in our SIS system, articulates the courses using Banner processes, uploads the original transcript into our Document Management system and finally sends a formatted equivalent course email to the students. This session will cover the following:
1. The scope, business need, and challenges associated with automating the credit transfer and articulation process for all transcripts received via NSC, Parchment, and NJTransfer from 1600+ colleges.
2. Execution strategy of a pilot with 19 colleges followed by 1600+ colleges
3. Extending the implementation to include 4,000 or more high school transcripts with Science, Math, AP, and Honors data analytics via dashboards and smart reporting on the portal.
4. Expanding the implementation to include graduate transcripts
5. Test strategy and execution
6. The AI engine automates the entire transcript credit transfer process for freshmen, continuing students, readmits, future applicants, and prospective student types, as well as transcript processing from NSC/Parchment/NJTransfer into Slate, Banner, and BDMS with articulation and email to students upon successful credit transfer.
7. Intelligent OCR with 100% accuracy, handling logos, watermarks, grade rules, handling duplicates, processing partial in-progress transcripts
8. A self-guided smart portal designed by users for users, complete with smart dashboards and reporting for the admissions and student records offices.
