At the University of Amsterdam, the nominations and applications of inbound exchange students went from Excel files and Outlook to Campus Solutions. Having all this data in Campus Solutions made it possible to automatically email our students from Campus Solutions. This would take a lot of manual labour away from the exchange offices. Writing emails manually gives you the opportunity to personalise the content, but does sending out email in bulk limit you to fixed content? Campus Solutions turns out to be very flexible without customisation. You just need a smart design and we are happy to share our design with you. Talking to our exchange offices helped us immensely. They know the target audience, the variables in the emails and the timing. They are the experts, but we are the ones who need to build the communication in Campus Solutions. We needed their wish lists, what email set up did they want in a perfect world where everything is possible? This gave us some challenges: How do you show your students the correct information if every faculty has their own web pages and content? How can you show the correct contact information and signature if every faculty has it’s own? And what email address do you use in your commgen RunID if every faculty uses its own email address? How do you combine general information and faculty specific information? And what if halfway through the application the contact details change? And how do we send automatic reminders? We wanted our design to be as simple and clean as possible. For instance: we do not want to rebuild everything for every new academic year. And if contact details change, we do not want to adjust 7 email templates, or if one faculty has an adjustment in their text, it shouldn’t affect the other texts. And if there are tweaks, we want to implement them fast and easy. We came up with a smart combination of sub templates and chooses which is easy to build and to maintain. The result: a low maintenance and time proof configuration and some new friends at the exchange offices.
