In order to change a student’s program/plan at FIU, an advisor had to complete and submit a paper documentation, which was the beginning of a paper trail that was cumbersome, time-consuming, and inefficient. The academic advising team at FIU decided to implement a new process to streamline these program/plan changes. This new process used an activity guide (AG), through which the advisor requests a program / plan change on the student’s behalf. Once the AG is submitted by the advisor, the student needs to accept or cancel the request. If the student accepts, a workflow is created using the approval workflow engine (AWE). The number of approval steps in the workflow will be determined by the request. Once the workflow is approved, the student program/plan is updated. This new process reduces processing time, errors, manual labor and positively enhances the user experience.
