Description:

To remedy the situation of the uncoordinated collection, management, tracking and reporting of allegations of Discrimination or Gender Based Violence reported by staff or students within the institution, the University of Pretoria in South African undertook a custom development - using PeopleTools and FLUID – of a ‘case management’ type system that now orchestrates the entire process of reporting and tracking all such reported cases. Students and staff can now create/report an incident or allegation using a self-service PeopleSoft FLUID interface – describing the timing and circumstances of the incident and identifying the parties involved and classifying the primary nature of the incident from a pre-defined list.  Workflow in PeopleSoft then facilitates the routing of the logged case to one or more entities to investigate or comment; whereafter these entities can record their findings; upload supporting documentation (affidavits, etc.)  Appropriate PeopleSoft-enable security controls which users can see which cases and what information they can see within their authorised cases. By assigning an overall status to each case, it is possible to track each case from initiation to closure, and the PeopleSoft dashboards that were developed have greatly improved management’s insight into the nature and frequency of such incidents whilst also highlighting stalled investigations and average to resolution.  This custom-developed case management "approach" - using PeopleSoft technologies - is also being extended to other business processes, e.g. whistle blowing; internal audit and employee wellness tracking.
