General Questions

What is Alliance 2022?

The premier annual member-driven conference with users from around the world. Alliance's expanded vendor inclusion makes this is the place for higher education and public sector professionals to share knowledge, collaborate and become inspired regardless of product or platform. Alliance 2022 will span 3 days and have 300+ educational sessions.

Who can attend Alliance 2022?

All attendees must be an Institutional Member, Allied Member, or a Subscriber of the Higher Education User Group at the time of registration. A limited number of guests from other industries and employees of vendors accepted by the conference as exhibitors.

When is Alliance 2022?

Alliance 2022 is from March 13-16, 2022 with workshops held on March 13, 2022. View the online schedule to see specific dates and times

Where is Alliance 2022?

Alliance 2022 will be held in Seattle, Washington at the Washington State Convention Center.

How can I stay updated on Alliance 2022 Health and Safety Protocols?

Will HEUG require proof of a COVID-19 vaccination for all attendees?

HEUG is requiring all Alliance 2022 attendees, exhibitors, staff and guests to be FULLY vaccinated prior to attending Alliance 2022. Registration Questions

What is the registration rate for Alliance 2022?

You can find information on attending Alliance 2022 on the Registration Information page.

What is included in the registration rate for Alliance 2022?

Registration fee per attendee includes admission to all sessions, Sunday Welcome Reception, Refreshment and Lunch Breaks on Monday, Tuesday, and Wednesday, and the Tuesday Night Closing Event (Sponsored by Huron).

I am not sure if my organization is a member of HEUG. How do I check?

My organization is not a member of the HEUG, how do we join?

Visit the HEUG Membership information page for more details on how to enroll.

My organization is a member of the HEUG but I don't have a HEUG log in. How do I obtain one?

Please put in your request  through our online form.

What currency is the registration fee in?

The registration fee is in US Dollars. Payment must be in US Dollars.

What types of payment do you accept?

Visa, MasterCard, American Express, Discover and check/cheque are accepted. No purchase orders accepted.

I am trying to make payment with my credit/debit card, but payment won't go through.

If your payment did not go through, check to see if one of the following situations has occurred:

  • Credit card has expired
  • Credit card limit has been reached
  • Credit card has a fraud listing
  • Credit card billing address doesn't match the one put in upon making payment

It is recommended that you contact your credit card provider to verify the information above. Please note that our system will temporarily block credit cards, if declined multiple times.

May I request a registration transfer?

Transfers will only be accepted through March 7, 2022. Please complete the Registration Transfer Survey to begin the process.

How do I request a registration cancellation?

  • A processing fee will not be applied to any Alliance 2022 Fee (Registration, Workshops or Guests) if written notice of cancellation is sent via email to support@alliance-conference.com, sent no later than January 26, 2022.
  • Registration Cancellations are subject to a $225 cancellation fee and require written notice of cancellation via email to support@alliance-conference.com, sent no later than February 25, 2022.
  • Guest Fees and Workshop Fees are subject to a $25 cancellation fee and require written notice of cancellation via email to support@alliance-conference.com, sent no later than February 25, 2022.
  • Refunds for any Alliance 2022 Fee (Registration, Workshops or Guests) will not be granted after February 25, 2022, nor will they be given for no-shows.

Can I bring a guest to Alliance?

Yes, you can bring a guest to Alliance for an additional fee. All guests must register and not be in an industry-related position. Co-workers or associates in the industry do not qualify. Guests must be at least 21 years of age. Guest passes may be purchased until sold out.

How do I purchase a guest pass?

You can add this directly during your initial registration. If you have already registered, you can go to your registration to add a guest pass, a new invoice will be generated to be paid.

What's included in the guest fee?

You may purchase either the Sunday Welcome Session guest pass, the Tuesday Closing Night guest pass, or the Full Conference guest pass.

I required ADA assistance during the conference. How do I let staff know?

During registration, you will be asked if you require ADA assistance. If so, a HEUG staff member will contact you before the start of the conference.

Advanced noticed is required for accessibility assistance, BEFORE Monday, February 21, 2022. Requests received after February 21, 2022, will be handled on a case-by-case basis and assistance cannot be guaranteed. We ask that you please register as soon as possible, to provide the best experience at the conference. Registration opens Wednesday, November 17, 2021.

I live in the area and do not need a hotel, how do I register without a hotel code?

Attendees from institutions within 75 miles of the conference site and where institution travel guidelines will not allow an overnight stay due to close proximity may request a waiver of the requirement of staying at a conference hotel. Contact support@alliance-conference.com to request the exemption.

If I feel sick before the conference, what should I do?

For your safety and the safety of others, please contact support@alliance-conference.com to cancel your conference registration. If it's after 2/11/2022, your options include:

  • Transferring your registration to a colleague, no later than March 7, 2022.
  • Switching your registration to the on-demand option and receiving a partial refund.
  • Cancelling your registration completely. A $225 fee will be applied if cancelled by February 25, 2022. No refunds will be available after February 25, 2022.

Please do not forget to cancel your hotel and other travel arragments.

 

Group Registration Questions

Will Group Registration Packages be available again this year?

Yes. You will be able to choose registration packs starting at 15+ Pack or 25+ Pack. Visit the Registration Information page for more information.

How can my organization take part in the Group Registration Package?

Choose which pack you want. (15+ Pack or 25+ Pack) and contact support@alliance-conference.com
To be eligible for the group rate your organization must be an Institutional, System, or Allied (PSUG) Member, and registrants must book in the housing block.

Do I have a registration deadline for the Group Registration Package?

Yes, the purchase of the package will only be available during the Early Bird registration rate (ends January 26, 2022).

All attendees participating in the package deal must be registered by COB March 7, 2022. If individuals have not registered for the conference by March 7, 2022 those registration will be forfeited, and no refunds will be granted.

Can the Group Registration Package invoice be split up by departments for my organization?

No, there will only be one invoice generated. If you need to split the invoice, that will need to be done internally with your organization.

Can we transfer a registration from the Group Registration Package?

The package discount is only available on new registrations; adjustments or refunds are not available to any existing registrations.

To transfer a new registration please fill out the Registration Transfer Form and follow the instructions provided on the form for submission.

Who is eligible to take part of the Group Registration Package

Group Registration Rates are only applicable towards full conference registrations. discounted registration do not apply. Please contact support@alliance-conference.com if you are unsure if you qualify.

 

Presenter/Session Questions

How can I become a presenter at Alliance 2022?

Session submissions will be open from September 27 – October 20, 2021. Please visit our Presenter Information page for more details.

I am a presenter and need to make changes to my presentation. Who do I contact?

Please login to your Presenter Page, click on the session your wish to edit, then click the pencil icon to the left. Once your complete your edits, click OK to save them. If you are an exhibitor presenting, please contact Tom Chambers at exhibitors@heug.org.

Do I get a free registration for presenting at Alliance 2022?

Presenters are eligible for one (1) discount only. Presenters selected for multiple session are eligible for one discounted rate which provides the greatest benefit. No other expenses are reimbursed by the Alliance conference. The registration discount is non-transferable.

Can I present my session for Alliance 2022 virtually?

The breakout rooms will not be equipped for virtual presentations (primary or co-presenters). We ask that our presenters are there in person for the conference.

Will I need to wear a mask while presenting my session?

You will not be required to wear a mask while presenting your session at Alliance 2022 We ask that if you choose not to wear one during this time, to stay near the front of the room in order to social distance from session attendees.

My session was placed on-hold, when will I know if it's been accepted?

We will update you by January 12, 2022 of your final session status. Please proceed with registering for Alliance as an attendee at this time, and if your session is accepted, we will refund your registration based on the presenter registration discount.

What are my next steps as a presenter?

When will the Mobile App be available?

Our conference mobile app is currently available. Please visit our HEUG Event App page for more information on how to build your conference agenda.

How can I build my agenda?

NOTE: You will not be able to login to the mobile app until your registration is paid.
Agenda Builder is located in the Alliance app. There are two methods to access the mobile app.

  • Go to the App Store and download the HEUG Events app:
    Android - Google Play
    iOS - Apple Store
    Click "Log in" at the top right then "Get Started". Create an Eventsential Account login by using the same e-mail address and password that you use to login to HEUG.Online.
    Then click on the Alliance 2022 event and log in again by using the same e-mail address and password that you use to login to HEUG.Online.
  • Go to https://heug.eventsential.org/Home/Details/117 on your browser to instantly access your mobile event guide!
    Click on the event then login by using the same e-mail address password that you use to login to HEUG.Online.

Will recordings be available to non-Alliance 2022 attendees?

No, recordings are ONLY available to those who are registered and paid for Alliance 2022.

Travel Questions

What is the closest airport?

Seattle – Tacoma International Airport (SEA).

What is the best way to get to the hotels from the Airport?

Multiple forms of transportation links you to the rest of the Seattle region. Light rail train to downtown Seattle, taxis, public buses and scheduled airporters, app-based ride shares, and a large array of rental car companies to choose from make getting to and from SEA Airport more convenient.

  • By bus - King County Metro and Sound Transit provide bus service to a variety of area destinations and Sound Transit’s Link Light Rail provides traffic-free transit to and from the airport
  • By bike - Keep it green and ride your bike to the airport! Explore our many bicycle resources
  • By app - Pick up or drop off all on your phone: Lyft, Uber and Wingz all service at SEA Airport

What hotel should I book?

There is a variety of hotel options available for the Alliance conference. You can see all the options and more details on the Alliance Hotel page.

Please DO NOT go to the hotel directly to book your room. You will need to book through the Housing Bureau and use that acknowledgement/confirmation ID to receive the Early-Bird Rate for your registration. We do weekly audits of the attendee list and hotel rooming lists. If the acknowledgement/confirmation ID you plug in is not valid, we will email you to reserve at an Official Alliance Hotel through the Housing Bureau. If that is not completed or you change your hotel to a hotel outside the conference block after registering, your registration will be charged an adjustment from the early-bird conference rate to the higher advance conference rate.

How do I get a Letter of Invitation for Visa purposes?

You must be registered and paid in full before requesting a Visa Request Letter. Please download the form, fill it out, and email it to support@alliance-conference.com.
